Events - Adding, Editing and Duplicating

Adding an Event

  • Go to your Group’s Web Page.
  • From the Top WordPress Menu
    • Hover over ‘New’
    • Click on Events
  • This will take you to the page for adding a new Event.

What you MUST do are shown in bold

  • In the Add Title line put your Group’s name and then a brief description of the Event. Eg Hill Ramblers – Sugar Loaf with John.
    • This means that it will be identified as your Group in the All Events Page.
  • In ’Type / to choose a block’ add the Event detail.
    • You can add as much or as little as you want in this section. There are formatting options similar to Word, including headings, bullets, links to external web sites and photographs.
    • There are formatting options similar to a word processor including headings, bullets, photographs and links to other websites,
  • Event Categories. You must select something in this field that is appropriate for your Event
    • If there isn’t an appropriate Category, select ‘Other’ and contact the Website Manager to see if another Category can be added.
  • Event Date. Your Event must have a date.
  • Start time, End time and Duration are all optional.
  • Group. You must select this for Activity Groups otherwise the Event will not appear on your Group’s page.
    •  If it is not a Group Event (eg Tuesday Live) you can leave it blank but you will have selected the relevant Category in ‘Event Categories’ above.
  • Venue. Optional but could be the meeting point for your coach, walk or cycle ride.
  • Organiser. Optional but could be the walk or cycle ride leader.
  • Cost. Say if it is free.
  • Booking required. Tick if members need to book.
  • Now click on ‘Publish’ (twice) in the top RH corner.
  • Click your back arrow (top LH corner) until and you can see what your Event looks like.

The number of mandatory fields is small but the more information you give the better and you won’t then have to enter them in Event detail.

Editing Your Event

  • Go into your Group and go down to the Event
  • Click on the Event
  • Click on Edit Event on the Top WordPress Menu
  • Make any amendments
  • Click on Save in the top RH corner
  • Click the back arrow (twice)
  • You may have to press refresh (the curly arrow usually in the top LH corner) to see your updated Event

If You Want to Add a Photograph to the Event

  • Only one photograph can appear on the Event listing
  • Go to the Event
  • Click on Edit Event from the Top WordPress Menu
  • On the RHS menu make sure you are in ‘Event’ and not ‘Block’
  • Click on ‘Set Featured Image’ then:
    • Either use the Media Library and ‘Enter folder name’ on the LHS enter the name of your Folder and select one of your photographs.
    • Or upload a file from your PC or other device.
    • First make sure that you are in your Folder in the Media Library and ‘Enter folder name’ on the LHS enter the name of your Folder. Then click on ‘Upload files’ and then ‘Select files’, find the photograph you want and upload it. It will be added to your Media Library folder and Featured Image at the same time.
  • Click ‘Set featured image’ in bottom RH corner
  • Then ‘Save’ in top RH corner
  • If you don't think that your photograph has been added to your Event, try pressing Refresh.

If your photograph is not added to your Folder it can be ‘moved’ there. Ask the Web Manager.

Duplicating an Existing Event

This will be easier than creating a new Event if you are only going to change one or two items such as the date or the venue but it has to be done via the Dashboard menu. Note - you can only duplicate an event that YOU created.

  • Dashboard
  • U3a Events
  • Find the Event you want to Duplicate – use the Search option on the top RHS
  • Hover over the title of the Events and some menu options will appear below the title
  • Click on ‘Duplicate This’
  • A new Event will be created with the word Draft but, annoyingly, it will appear in the list of Events and you will have to search for it. More annoyingly, you cannot use the word ‘Draft’ to search!
  • When you have found it, hover over the title and the menu options have appeared, click on ‘Edit’
  • Change whatever you want
  • Click on Publish (twice).
  • Click on Chepstow in the Dashboard and find your new Event.
